Notifications and Order Monitor

How to configure SMS and app notifications, QR pairing, and access-code rotation.

What this page is for

Use this page to decide how your team is notified when calls/orders are received.

Steps

  1. Open Notifications page.
  2. Configure at least one notification method:
    • SMS contacts (Option 1)
    • Order Monitor app (Option 2)

Option 1: SMS contacts

  1. Add one or more phone numbers.
  2. Save and run a test call/order.
  3. Confirm SMS delivery to each intended recipient.

Option 2: Order Monitor app

  1. Use Download Order Monitor on the page.
  2. Install the app on your target phone/tablet.
  3. In the app, scan the access-code QR shown in Notifications.
  4. Confirm the device receives a test notification.

If you are viewing the page on another device

  • Keep Notifications open on your computer/tablet.
  • Use your phone camera to scan the QR and open the download or access flow directly on the phone.

Multi-device behavior

  • Multiple devices can be connected at once.
  • All connected devices receive notifications.
  • To stop one device, remove app access on that device.

Rotate access code

  • Rotating the code invalidates current app links.
  • All previously connected devices must re-scan the new QR to reconnect.

Common issues

  • No SMS arrives:
    • Verify number format and carrier delivery.
    • Confirm contact is still listed and active.
  • App notifications missing:
    • Confirm device is linked with current access code.
    • Check device notification permissions and battery restrictions.
  • Old device still receiving notifications:
    • Rotate access code and reconnect only intended devices.

4. Order Notifications & Alerts

Q. How will I be notified when a new order is placed?

A: You can receive order notifications by text messages, mobile app notifications, or through an optional tablet and receipt printer combo. You may select one, two, or all three options based on your preference.

Q. How does SMS (text message) order notification work?

A: When you enable SMS notifications, you will receive text messages about orders on your mobile phone. Make sure to use a valid mobile number, as landlines cannot receive texts. You may enter multiple phone numbers, and all will receive order alerts. Text messages also include a link to listen to call recordings. To stop a specific phone number from receiving SMS notifications, simply remove it from the recipient list; you can add it back later if needed. The mobile phone owner can reply STOP to unsubscribe from text notifications, or START to resubscribe.

Q. How do mobile app notifications work?

A: To receive mobile app notifications, search and download the "Order Monitor" App from App Store for iOS or Android, and scan the provided QR code on your setup page to link your account. The app lets you receive instant notifications, listen to call recordings, and perform specific management tasks. You may install the app on multiple devices. If you want to revoke access for certain devices, rotate the access code and rescan it only on the devices you want to keep receiving notifications on.

Q. How does the receipt printer and/or tablet option work?

A: With the optional receipt printer and/or tablet, your orders are automatically printed as they are received. The tablet also offers features like a detailed order list, call recording playback, and additional management tools. You can review its benefits and decide whether to purchase these equipments.

Q. How do I enter the order into my existing order system?

A: When an order is placed, our notification will include the customer’s name, phone number, a conversation summary, and a detailed list of ordered items. Orders can be manually entered into your POS system. By default, customers will pay when they pick up their orders. If you enable the option requiring payment before pickup, the AI Phone Server will collect the customer’s credit card information, including card number, expiration date, security code, and billing zip code, which you can retrieve by listening to the order recording and processing the card manually.

Q. How can I check if the AI Phone Server is taking orders correctly?

A: All conversations handled by the AI Phone Server are recorded for quality purposes. Each notification you receive includes a link to listen to the call recording. Even for incomplete calls, you’ll still get a conversation summary, caller details, and the recording so you can decide if follow-up is needed. (Calls transferred to external numbers are not recorded.)

Q. Can I choose a language other than English for staff notifications?

A: Yes. You can select your preferred language for receiving order notifications, ensuring that staff members who do not understand English well can easily read and manage notifications in the language they are most comfortable with.
